From the time that your state agency creates a new Food Distribution Program commodity preorder until it allocates the preorder products to the sponsors, the CNPweb uses statuses to identify the location of a preorder in the creation and fulfillment process.
Each preorder appears on your Sponsor Summary - Preorders tab. The actions your organization can take on a preorder depend on its status.
The CNPweb uses the following statuses with preorders:
Status |
Description |
---|---|
Setup |
The state agency assigns the Setup status to a new preorder before it is ready for your response. Both preference and entitlement preorders use the Setup status. You cannot view a preorder in the Setup status. |
Open |
The state agency assigns the Open status to a preorder when it is ready for your response. The preorder response period begins with the Open status and ends when the state agency assigns the Balance status. You can respond to a preorder in the Open status. |
Balance |
The state agency assigns the Balance status to a preorder to close the response period. The state agency compiles the preorder responses and places product orders during this time. During the balance process, the state agency may adjust your product quantities based on their ordering limitations with the USDA. You can view a preorder and your response in the Balance status. |
Fill |
The state agency assigns the Fill status to a preorder when products arrive to fill the preorder requests. During this time, the state agency creates the product allocations. You can view a preorder and your response in the Fill status. You can also view the associated allocations, entitlement draw, inventory at your servicing warehouse, and the invoice for product-related fees. |
Close |
The state agency assigns the Close status to a preorder when it has finished its work with the preorder. You can view a preorder and your response in the Close status. |
